Who controls your data

Axion Events is the data controller for information collected through this website and for entries to the Holcombe Mountain Trial Duathlon. Registered company details and our data-protection contact will be published here before entries open.

What we collect, and why

• Priority list: your name and email, so we can tell you when entries open. Lawful basis: consent. You can leave at any time.
• Entries: name, contact details, date of birth or age category, emergency contact, club, relay partner and t-shirt size. Lawful basis: performance of a contract (your entry) and our legitimate interest in running a safe event.
• Medical information you choose to disclose for your own safety. This is special category data: it is access-restricted, used only by the medical and race teams on the day, and deleted sooner than other entry data.
• Contact and volunteer forms: name, email, phone and your message, so we can reply and organise the event team.
• Memories and archive material you submit voluntarily. Nothing is published without asking you first.

Who we share it with

Only where necessary to run the event: our payment processor (Stripe, which handles card details directly — we never see or store your card number), our timing provider, our medical provider on race day, and the relevant governing body where the event is permitted. We do not sell your data, ever.

How long we keep it

Entry and results data is kept as part of the permanent race record. Contact and volunteer correspondence is kept for two years. Medical information is deleted within three months of race day. Priority-list details are deleted as soon as you unsubscribe.

Results are public

Race results — name, category, club and times — are published on this site as a permanent record, as is normal for competitive sport. The entry list shows names only, and you can opt out of it when you enter.

Your rights

You can ask for a copy of your data, ask us to correct it, ask us to delete it, object to how we use it, or withdraw consent. Contact us through the contact page. If you are not satisfied you can complain to the Information Commissioner's Office (ico.org.uk).

Marketing

We only send marketing if you have asked for it, and it is always separate from the terms you must accept to enter. Every email has a one-click unsubscribe.

International transfers

Our suppliers are UK or EU based where possible. Where data reaches a supplier outside the UK, it is covered by the appropriate safeguards.
